Programme Administrator

Job Title:Programme Administrator

Salary: £25,600.00, pro rata, per annum

Hours: 15 hours per week

Location: Ark-T Centre, Templars Square & The Venue, Barns Road, OX4 3RQ

Line Manager: Programmes Manager 

Annual Leave entitlement: 28 days (pro rata to hours)

Pension is offered to all employees

Role Overview:

The Programme Administrator plays a key role in ensuring the smooth running of Ark-T’s creative and community programmes. The role includes administrative support for the Programme Manager, staffing the Welcome Space, supporting compliance with safeguarding and health & safety policies, and assisting with volunteer events and supervision. 

Key Responsibilities: 

1. Programme Administrative Support 

  • Provide administrative support for the Programme Manager across various projects, ensuring smooth coordination of activities. 
  • Assist with programme logistics, scheduling, and communication to support the effective delivery of activities. 
  • Maintain accurate records, including participant information and programme data. 
  • Support funding and impact reporting by gathering relevant information as needed. 
  • Assist the Programme Manager with additional tasks as required. 

2. Compliance & Safeguarding 

  • Oversee and process all DBS checks for staff, ensuring compliance with safeguarding policies. 
  • Maintain up-to-date safeguarding records and ensure staff renew training in good time. 
  • Ensure all activities comply with health & safety policies and assist with risk assessments. 
  • Report any safeguarding or health & safety concerns to the Designated Safeguarding Leads (CEO, Head of Programmes, Programme Manager). 

3. Welcome Space Coordination 

  • Be present in the Welcome Space for two days per week (10am – 3pm) to create a welcoming, inclusive, and safe environment for visitors. 
  • Engage with participants, encourage visitors to take part in creative activities, and signpost them to relevant services. 
  • Ensure the space is accessible and running smoothly during opening hours. 

4. Volunteer Event Attendance & Supervision 

  • Attend and support key volunteer events such as community lunches, the Welcome Space, and volunteer days. 
  • Supervise volunteers during events, ensuring they feel supported and engaged. 

Person Specification 

Essential: 

  • Strong organisational and administrative skills, with experience managing multiple tasks. 
  • Ability to work independently and proactively within a team. 
  • Proficiency in IT systems, including email, spreadsheets, and databases. 
  • Friendly, proactive, and adaptable, with a passion for community engagement. 
  • Commitment to safeguarding, equity, and inclusion. 

Desirable: 

  • Knowledge of safeguarding and DBS processes. 
  • Experience working in a community, charity, or creative setting. 

Other Responsibilities: 

  • Attend relevant training, including Safeguarding, First Aid, and Health & Safety. 
  • Participate in team meetings and supervisions as required. 
  • Submit monthly expenses in line with agreed expenditure limits. 
  • Undertake other tasks as agreed with the Programmes Manager to support Ark-T’s mission and sustainability.
